Quote vs Estimate vs Quotation — Which One to Send

Customers use these words interchangeably. You should not, because they carry different commitments:

  • Estimate — your best approximation before you have seen the job, or when scope genuinely may shift (unknown soiling, unclear square footage). Say it is an estimate, and say what would change it.
  • Quote — a fixed price for a defined scope. Once the customer accepts, you hold that number unless the scope changes in writing. Most carpet cleaning work should be quoted, not estimated, because you can measure the rooms.
  • Quotation — the same thing as a quote; more common in UK, Australian, and commercial procurement usage. If a facilities manager asks for a quotation, send your quote document unchanged.
  • Bid / proposal — a quote submitted competitively against others, usually for commercial contracts. Same numbers, more context on why you.

Practical rule: if you have walked the job or have reliable room counts, send a quote. Send an estimate only when you genuinely cannot pin the scope — and convert it to a quote the moment you can. An estimate that a customer treats as a quote is where disputes start.

How to Create a Carpet Cleaning Quote (5 Steps)

Room count for residential, square footage for commercial. Note stairs separately — they are priced per step, not per room, and forgetting them is the most common underquote.

Hot water extraction, low-moisture encapsulation, or bonnet. Method changes both your time on site and your price, so decide before you quote, not after.
