Subject: Commercial cleaning for Example Property Group
Hi Dana, I'm Luis with Example Cleaning Co, a commercial cleaning company in Columbus. We work with property managers. What we're known for: licensed and insured, evening crews. Are you happy with who handles commercial cleaning at your properties? If you'd ever like a second option or a quote to compare, I'm glad to walk one of your properties and put one together. Would a 10-minute call next week work? Thanks, Luis Example Cleaning Co · (555) 010-2030 100 Example St, Columbus, OH 43215 If you'd rather not hear from me, reply "no thanks" and I won't email again.
What makes a commercial cold email work
One person, one email
Write to the person who hires vendors (a property or facilities manager, the HOA board or its management company, the office manager) and send each email yourself.
Keep it short
Three or four sentences: who you are, why you're writing to them, and one small ask. Leave the price list and the company history for the call.
Ask for a small next step
A quote to compare or a spot on the vendor list is easier to say yes to than a contract.
Have your paperwork ready
Commercial buyers usually ask for a certificate of insurance and a W-9 before you start. Offering them up front saves a round trip.
Follow up once
If there's no reply after 4 or 5 days, send one short follow-up, then stop. Respect a "no thanks" right away.
How to use it
- 1Pick your trade, who you're writing to and an angle.
- 2Add what you know: their name and company, your city, your details and what you're known for. Leave anything you don't know blank.
- 3Copy a subject line and the email into your own email account and read it once.
- 4If there's no reply after 4 or 5 days, send the follow-up. Use the voicemail script if you call.
