The three words get used interchangeably in the field, and that is where trouble starts. An estimate is your best-informed projection and can move if conditions change. A quote is a fixed price for a defined scope. A bid is a formal price submitted in competition, usually on commercial work with a stated deadline. Whichever you send, the document should say which one it is, in plain language, near the total.
For plumbing specifically, the safest structure is a fixed price for everything visible and inspectable, with a written note that concealed conditions — corroded pipe behind a wall, roots in the sewer lateral, non-code work by a previous contractor — will be documented and priced as a change order before any additional work begins. That single sentence prevents the most common plumbing argument.

How to build an estimate that closes
Diagnose before you price
Pressure test, camera the line, or open the panel first. An estimate written from a phone description is the fastest route to a change order fight later.
Write the scope in the customer's words, then in yours
'Stop the leak under the kitchen sink' followed by 'replace 6 ft of 3/4" copper supply, both angle stops, and pressure test.' They read the first line; the second line protects you.
Give three options
Repair only, replace the component, replace with an upgrade or added warranty. Most customers pick the middle option, which is usually your best-margin path.
List exclusions explicitly
Drywall finish, tile, paint, landscaping restoration, asbestos abatement, and anything behind a wall you have not seen. Say what is not included before they assume it is.
Present it on-site while you are standing there
Plumbing estimates close dramatically better in person than by email 48 hours later, especially on emergency and water heater work where the customer wants the problem gone.
Follow up twice, then let it rest
One follow-up at 48 hours and one before the expiration date. After that, keep the record — failed water heaters and slow drains come back.

Common plumbing estimate mistakes
Sending a single number with no scope.
A bare '$2,184' invites price shopping. Attach the findings, the scope, and the exclusions so the customer is comparing your defined work to somebody else's vague number, not the other way around.
Leaving permit and code-required items out to look cheaper.
Expansion tanks, drip pans, sediment traps, and permits are not optional in most jurisdictions. Pricing without them wins the estimate and loses the job at inspection. List them and explain why they are required.
No expiration date.
Add 'valid through [date]' — 30 days is standard. Material costs move, and an open-ended estimate can be waved at you a year later.
Estimating a repipe or slab leak from a phone call.
Do the pressure test or the camera run first, or give a clearly labeled range with a firm price to follow after diagnosis. Guessing on concealed work is how a profitable job becomes a break-even one.
