What makes a plumbing invoice different

A generic contractor invoice does not have a place for a water heater serial number, a camera inspection finding, a permit number, or a disposal fee for the old tank. Those four fields are exactly what causes plumbing payment disputes when they are missing. A homeowner who calls about a leaking tank two years later needs the model, the serial, and the install date to make a warranty claim — and if your invoice does not have them, the claim lands on you instead of the manufacturer.

Plumbing also carries more emergency and after-hours work than most trades. If you charge a 1.5× or 2× multiplier for a Saturday night main line backup, the invoice has to say so explicitly. "Emergency after-hours dispatch (Sat 11:40 PM) — 1.5× standard rate" ends the argument before it starts. A line that just says "service call — $225" does not.

Common plumbing invoice mistakes

Writing only 'plumbing repair — $450.'

Describe the job: 'Replace failed 3/4" copper supply line under kitchen sink, includes shutoff valve replacement, pressure test, and cleanup.' A specific description prevents chargebacks and supports the warranty.

Leaving the water heater model and serial off the invoice.

Record the brand, model, serial, capacity, and install date on every water heater, softener, and sump pump. Without it the customer cannot file a manufacturer claim, and the tank warranty effectively becomes yours.

Burying the after-hours premium inside the total.

Break it out: 'Emergency dispatch — Sunday 2:15 AM (1.5× standard) — $187.50.' Customers accept emergency pricing they agreed to on the phone; they dispute a total they cannot decompose.

No disposal or haul-away line on a water heater swap.

Old tank removal, haul-away, and dump fees are real costs. List them at $50–$150 as their own line item so the customer sees what the price covers instead of assuming your labor is inflated.

No warranty statement on the invoice.

Add one line: '1-year labor warranty. Manufacturer warranty on parts and equipment. Excludes damage from tree roots, freezing, foreign objects, or work performed by others.'

What should a plumbing invoice include?
At minimum: your business name and plumbing license number, the customer name and service address, an invoice number and date, a specific job description, separate lines for labor and parts, permit and disposal fees, any after-hours multiplier, the total due with payment terms, and a short warranty statement. For equipment installs, add the model and serial number so the customer can file a manufacturer claim later.
Should labor and parts be separated on a plumbing invoice?
Yes, in almost every case. Warranty claims are handled differently for parts and labor, some states tax materials but not labor, and insurance adjusters on water damage claims will only reimburse against an itemized invoice. Separating them also makes flat-rate pricing easier to defend, because the customer can see that the price is not pure labor.
How do I invoice a flat-rate plumbing job?
List the flat-rate task as a single line with its total — for example 'Cable-clear kitchen drain from cleanout — $225 flat rate.' You do not have to disclose your hours or your parts cost. Still record the parts installed in a separate section for warranty and inspection purposes. Typical 2026 flat rates run $89–$149 for a diagnostic, $150–$300 for a single-fixture drain clear, and $1,200–$2,800 for a standard tank water heater replacement.
How do I bill for emergency or after-hours plumbing calls?
Put the multiplier on the invoice as its own line, with the day and time of the call. Most shops use 1.5× for evenings and Saturdays and 2× for overnight, Sunday, and holidays. Confirm the multiplier verbally before you dispatch, then repeat it on the invoice — agreement plus documentation is what makes emergency pricing collectible.
Do I need to charge sales tax on plumbing work?
It depends on your state. Labor is exempt in many US states, while materials are usually taxable — but the treatment can flip depending on whether the contract is lump sum or itemized, and whether the job is a repair or a capital improvement. Consult a local tax advisor. This template is a practical starting point, not tax advice.
How should permit fees appear on a plumbing invoice?
As their own line item, with the permit number once it has been issued. Water heater replacements, gas line work, repipes, and sewer line replacements typically require a permit. Some customers reimburse the fee at cost; others expect it inside the quoted price. Whichever you do, make it visible so it does not look like a surprise markup.
Can I use this template for commercial plumbing billing?
Yes, with small additions. Commercial jobs often need a purchase order number, a cost code, net 30 terms instead of due-on-receipt, and sometimes a lien waiver attached to the payment.
